Migrating from Analog to IP Phones

A phased migration plan for campuses moving from analog exchanges to IP telephony.

Migrating from Analog to IP Phones

Replacing an analog exchange can feel daunting: hundreds of extensions, familiar numbers and staff accustomed to the old system. A phased plan makes the migration smooth and low-risk.

Audit the current system

List every extension, its location and user, direct numbers, hunt groups and special devices such as fax machines, lift phones and alarm lines.

Check network readiness

IP phones need Ethernet ports, PoE switches and quality-of-service settings. Upgrade switches where necessary and plan a dedicated voice VLAN.

Choose the PBX model

Decide between an on-campus IP PBX and a hosted system. Hosted systems reduce maintenance; on-campus systems offer more local control.

Keep numbers

Plan to keep the main number and important direct numbers through porting or SIP trunk configuration.

Pilot first

Start with one building or department, gather feedback and resolve issues before wider rollout.

Migrate in phases

Move building by building, scheduling cutovers during holidays or weekends. Run analog and IP systems side by side during the transition.

Handle legacy devices

Use analog adapters for devices that cannot be replaced immediately.

Train staff

Short training sessions and quick-reference cards help staff use new features like transfer, voicemail and mobile apps.

Decommission the old exchange

Once all extensions have moved, retire the old exchange and copper lines.

The bottom line

A phased migration delivers modern telephony without disruption. UbiFi Campus Telephony plans and manages migrations for institutions.
